Upon your request, we can record any of your virtual meetings, including audio, video, and web conferences. Our conference recording service includes quality assurance checks as well as digital editing. Because we understand that important events are the ones that usually need to be recorded, we offer the assistance of our technical team to monitor the recording process and to ensure its success. The recording can be delivered to you on a disc via regular or registered mail, or as a computer file accessible through the internet.
We can upload your recorded meeting on to our replay system which allows individuals to call and listen to the recording. Participants that dial a specially designated phone number will be able to listen to the recording of the meeting at their convenience. Listeners can control their replay using their touch-tone keypad (for example, adjust volume or rewind their recording). The recorded call can be converted into an internet streaming file that can be played instantaneously without the need to download. The file can be played on many popular media players (real player or windows media player). The file can also be delivered to you to be stored on your company's website or it can be stored on Veidan's website. The basic service includes storage on Veidan's website for a period of up to three months.
This service enables live access for listening to the conference call via the internet. Advanced encoding and compression protocols provide you with a high-quality listening experience. We provide you with a link to listen to the event which can support access by thousands of participants in real-time.
You can add a visual element to your webcast with this service by using visual content such as slide presentations. Upon your request, we can also add security settings such as a secret pass code or participant registration to prevent access of unwanted participants.
Webcasting also works great as a stand-alone service when interaction between participants is not necessary and the information needs to be presented as a one-sided broadcast.
A professional staff of transcribers will reproduce accurate transcriptions of your recorded conference calls. For added accuracy, each transcription is handled by knowledgeable experts in the relevant field who are familiar with their terminology and each transcription is thoroughly checked for quality assurance. This transcription can then be translated into a number of languages.
This service will allow you to speak and listen to participants in any language anywhere in the world. We will match you with an appropriate translator in accordance with your needs as well as advise you on the best practices for successfully incorporating the translator into your call.
Through this service, your participants will be welcomed by our service representatives and asked for personal details of your request. Following the conclusion of your conference call, you will receive a participant list that includes the personal details collected from all of the call's participants (i.e. name, telephone number, etc.).
This service is especially suited for audio conference calls where it is important for you to know which participants attended the conference as well as for conferences where participant registration can serve as an added security measure by preventing unwanted participants from accessing the conference call.
With this service you can remotely monitor the activity of your conference calls via the internet in real-time. Accessible with a unique username and password, you can use the Conference Manager to see how many participants are in attendance as well as their status.
This service is an especially effective tool for self-managed conference calls. The Conference Manager is an ideal medium for managing voting during a conference call, participant identification, and for defining the participant speaking order.
By using this service along with our participant registration service, you will be able see the names of the participants that are present, expel participants, to lock the conference call to prevent intrusion from unwanted participants and more.
This service allows you to have a dedicated communications line with a Veidan representative who will provide you with detailed information regarding your ongoing audio conference call. You will be able to know at any moment how many participants are present in your conference call and even to identify them or where they are calling from. This service is well-suited for audio virtual events for which you want to know the participant's identity and their position in the call's speaking queue. It also gives you the ability to rearrange their position in the speaking queue according to your needs.
With this service we can send out a fax or SMS in your name to participants with invitations or reminders for conference calls. We can also send the meeting's agenda or materials before the event. Depending on the type and size of the information you want to send, you can select from sending an SMS, a fax, or a combination of the two.
For you to place an order, all you have to do is provide us with a list of recipients, the materials you want to send, the time and date of delivery, and we will transmit everything per your request. After we transmit your messages, you can also receive a list with the status of the messages that were sent.
You can prevent unwanted participants from entering your conference using this feature. This can be done with the assistance of one of our representatives, or it can be done by the conference leader by dialing a specific code into the telephone keypad. Participants who attempt to enter a locked conference will be redirected to a message that indicates that the conference call has been locked and that entry is not possible.
Your virtual meeting room can be set up for all event participants, save the event leader, to enter on mute. The event leader when he enters will not be muted. Speaking rights can be given to participants through the assistance of our conference call moderator in a managed conference call or independently by the event leader identified by a special pass code.
This great tool for making collaborative decisions during an event turns each participant's telephone into a voting device. After the voting takes place through the participants' touch-tone phone, accurate results are received and documented. This feature is available with calls assisted by our moderators or thorough the use of our Conference Manager. For each question, each answer is set in advance to be represented by a number, and when participants are asked to vote, they indicate their choice by dialing the corresponding number into their phone. Anonymous voting can also be set. With this option the document indicating the results will not indicate the identity of the voter.
With our "Assisted Services" you can request from our representative to split the event's participants into discreet groups for private discussions. Our representative can then rejoin the participants from their discreet groups back into the event. Just as in physical meetings, the need can arise in virtual events for a private discussion during a large event. This often happens in negotiation meetings as well as collaborative meetings between departments.
Participants are required to press the *0 to indicate that they wish for themselves and the other relevant participants to be transferred to a sub-conference. After the sub-conferences are over, the participants can press *0 again to ask for our representative to rejoin the groups back into the main meeting.
We will create a virtual customer service hotline bridged to a number of phone lines to connect your customers with your representatives. Upon your request, we can set up access phone numbers for you to publicize to your customers or any audience which you wish to have access to information about your company. You can also choose to receive international toll-free numbers accessible worldwide.
The customers that dial to your hotline will be welcomed by our operators, under your company's name, and then be routed to your representatives who will be on hold in a virtual waiting room.
This service can serve as the ideal replacement for creating your own call center and is also excellent for crisis management. It can also be used as an open line between your company and your clients, or as an information and consulting hotline.
Add a visual element to your audio conferences by incorporating web presentations. Visual presentations can remarkably add to the effectiveness of your conference by bringing it closer to a physical meeting. Using a secure internet address and password you will be able to share visual content with your participants such as slideshow presentations, documents, reports, applications, etc. A shared view of the screen along with the ability to annotate will dramatically increase the effectiveness and interactivity of your meeting.
For increased security and participant verification in audio conferences, you can use our Participant Entry/Exit Notification feature. The meetings can be set up for entry/exit tone to sound upon a participant's entry and exit of the meeting.
Choose from two types of Entry/Exit notifications:
Name Capture: During the participant's entry into the conference they will be asked for their names. The system will record their names and then will play the message, "(participant's name) has joined the conference" upon the participant's entry into the meetings. Once the participant disconnects from the conference, the system will play "(participant's name) has left the conference." This service allows you to know which participants are present in the conference at all time. If a participant does not give his name upon the recording and upon his entry you hear "(no name) has joined the conference". You can ask the participant to identify himself and if he refuses to do so, you can ask one of our representatives to identify and disconnect him, if necessary.
Tones (Sound Only): This feature will play a special tone upon the entry of each participant and a different tone once they exit. This way you will know when somebody has entered or exited the meeting. With this tone you will not be able to know the identity of the participants who have entered or exited, but the short ring is less disruptive to the meeting's dynamic.
For conferences set up with "Name Capture Entry/Exit Notification", the conference leader can activate a Roll Call and the system automatically plays back the names recorded upon entry of the conference of all the participants presently in attendance. This service is perfect for conferences that require certain participants to be present for the conference to start or for conferences where decisions must be made by voting.
The following key-pad controls will allow you to activate specific functions within the conference. Some of these features will be available only to the Conference Leader.
Available to All Participants
Request Operator Assistance *0: Any participant requesting operator assistance can dial *0 to speak with one of our operators regarding any question or issue.
Self-muting (mute yourself) *5: A solution for situations in which background noises or problems with the phone line or connection cause interruptions to the conference. Participants can press *5 to mute themselves so that noise from their connection will not disrupt the call. This is one way to guarantee a clear and flowing conference. To return to an un-muted status, the participant only needs to press *5 once more.
Increasing Volume *9: A solution for situations when a participant experiences poor audio quality due to a problematic international phone connection, or problems with their telephone device itself. A participant can simply dial *9 to increase his/her listening volume or #9 to decrease the volume.
Available to Conference Leaders Only
Muting All Other Participants *6: This function mutes all of the participants in the conference save the Conference Leader. This function is effective for meetings where the leader needs one-way communication with participants and to keep the line quite for meetings with many participants. Dialing *6 again will release all participants from a muted status.
Mute All New Incoming Participants *86: This function mutes all incoming participants from the moment *86 is dialed. These participants will be in a listen only mode and will not be able to actively interact in the conference. This prevents tardy participants from causing disruptions. To cancel this function #86 must be dialed.
Call Locking *70: To prevent unwanted participants from entering the call after all invited attendees have joined, you can lock your virtual conference by dialing *70. Participants who attempt to join the conference after it has been locked will be routed to a message indicating that they are unable to join the conference because it has been locked. To unlock the conference and allow additional participants to join #70 must be dialed.
Placing the call in secure mode *71: During this mode, no additional participants may enter the call. Also, our operators and representatives will not be able to monitor the call or perform quality checks. Our representatives will also not be able to assist participants requesting assistance. To remove the conference from secure mode, dial #71.
Placing the Call in Waiting Mode *1: If the conference is awaiting the arrival of specific participants or if the leader wishes to take a break from the conference, dialing *1 will place the call in a "waiting mode," during which music will be played and participants will be unable to speak to one another. To turn off the "waiting mode" #1 must be dialed.
Roll Call *33: For conferences set up with "Name Capture Entry/Exit Notification," the conference leader can activate a Roll Call by dialing *33 and the system automatically plays back the names recorded upon entry of the conference of all the participants presently in attendance. This service is perfect for conferences that require certain participants to be present for the conference to start or for conferences where decisions must be made by voting. To cancel the Roll Call #33 must be dialed.
Aborting Conference Call *87: (Causes all participants to disconnect) In cases where the Conference Leader wishes to disconnect all participants or in cases where the call is severely interrupted, for example, by disruptive noises from one of the phone lines. With this function all participants will be immediately disconnected from the call.
Q&A Session Management
For conferences where most of the participants are muted, or in a listen-only mode, and the Conference Leader wishes to manage their speaking order.
Speaking Request *22 (All Participants): Participants that want to request speaking rights and to be placed in the question queue must dial *22. To cancel the request for speaking rights and to be removed from the question queue participants must dial #22.
Give Speaking Rights to First Person in Queue *23 (Conference Leader): Dialing *23 will place the first participant in the question queue on "speaking mode." This participant can have a two-way conversation with the Conference Leader while the rest of the participants listen in. Dialing *23 again will close the floor for the current participant on "speaking mode" and open up the floor for the next participant in the queue. To end a round of the Q&A session and to place all of the participants back to a "listening-only mode," the ConferenceLeader must dial #23. All the participants who requested speaking rights will still remain in the queue.
End Q&A Session *24 (Conference Leader): To end the Q&A session and to clear the speaking rights queue list, the Conference Leader must dial *24.
Transfer the Call to Secure Mode *71(Conference Leader): For meetings that require the utmost security settings, the Conference Leader can dial *71. This function will lock the conference call to prevent the entry of any further participants and will also make the call invisible to our representatives. Our operators will be unable to provide you with any information regarding this call and will be able to provide very limited assistance with its operation.
Leader Dial-Out
Through the use of moderator dialing codes and the appropriate settings, the moderator can personally connect participants in real-time into the conference. A moderator can connect participants into the conference through the following steps:
- Dial *4 on your touch-tone phone. This will temporarily disconnect you from the conference and will give you access to an external phone line for you to dial the participant's number.
- Dial the phone number of the participant you wish to connect followed by the # sign to confirm the number. After reaching the participant, inform him/her that you are going to connect them to the conference call.
- To disconnect this participant and to access a new line from which to dial press *2 on your keypad.
- To disconnect the participant and to return to the conference, dial *4.
- To connect the participant to the conference and to open up a new line from which to dial to an additional participant, dial *1.
- To connect the participant to the conference and to return yourself to the conference, dial *3.
